Confirm the accepted PD category before summer starts

Before a summer activity starts, identify the accepted renewal category and what will prove eligible instructional/contact time.

Your first spreadsheet row for summer professional development should not contain hours. For summer-PD planning, once that row is correct, later evidence can be tested against the right rule.

Do not count a three-day conference as 24 renewal hours simply because you were away for three calendar days. Keep that warning visible at the top of the working file.

Summer planning is especially vulnerable to stale provider pages because educators often register months before renewal. Date the state-source check beside each conference, study group, or curriculum project so you can re-verify it if the rule changes before filing.

Counting contact time, not the advertised schedule

Keep conference agendas, attendance/completion certificates, project approval, mentor or supervisor verification, university transcripts, and a calculation excluding noninstructional time.

For summer-PD planning, evidence should be specific enough that a reviewer can reproduce your conclusion. That may mean a state transcript, college transcript, employer letter, military order, content certificate, credential evaluation, background document, or agency confirmation rather than a generic attendance email.

Use the approved-provider check before committing to an outside activity. A no-cost event, badge, conference, or summer project is useful for renewal only when the issuing agency recognizes the category and the evidence.

Preapproval before a self-directed summer project

Complete pre-approval before a self-directed project or activity whenever the state, district, or renewal entity requires it.

For travel or study abroad, separate academic credit from the travel itself. An official transcript for a summer university course is much easier to audit than a travel itinerary. That turns summer PD into a controlled renewal project instead of a pile of certificates in August.

Preapprove the summer activity before the calendar fills up

South Carolina's current matrix is a useful model because it separates college coursework, approved renewal courses, CEUs, and expanded activities available through qualifying employers. The state also encourages educators to seek formal preapproval for college coursework when eligibility is uncertain. That makes summer planning a documentation task, not merely a calendar task.

For conferences, record instructional sessions rather than assuming the full event duration counts. For curriculum writing, mentoring, research, or collaborative work, preserve the assignment, dates, deliverable, and supervisor/renewal-coordinator verification. For travel or study abroad, distinguish academic credit from personal travel. File the evidence as soon as the activity ends instead of rebuilding the summer in the final renewal month.
